Statement of Intent

Tall Pines Golf Club [the Club] is resolute in its determination to comply with the current legislation under the Data Protection Act 1998 [the Act] and the General Data Protection Regulations May 2018.

The Club will endeavour to ensure that we will be fully cognisant with our responsibilities not to divulge personal data.

Data Protection Policy

In accordance with the Data Protection Statement of Intent agreed the Committee has established a Data Protection Policy.

This policy shall be subject to regular review and shall remain effective (subject to minor changes determined only by legislation and the need to make reasonable adjustments to practices, procedures and policies or as agreed by practical experience, in keeping with current legislation) and addresses the following points:

What Information do we collect about you?

When you join the Club we only collect information required from you to be able to fulfil our contractual obligations which include being able to contact you to be able to send you a subscription renewal notice, AGM notice, Newsletters, and to administer competitions at the club.

  • All information of a personal and sensitive nature will be retained securely
  • The Club will not collect data of a sensitive nature
  • All data, specified under the Act, will be retained for only so long as it is required, and every effort shall be made to ensure its accuracy
  • All staff will be advised not to divulge any personal data to any outside body, or person.
  • All data will be processed fairly and lawfully.
  • We will only retain personal data as long as it is necessary.

All members will be required to contract “in” to obtain any direct marketing from the Club or its’ professional above and beyond the monthly newsletters.

How will the information about you be used?

When you join as a member or enter in to an event or open competition we may share your information with external and internal data processers (Club Systems Golf Membership Administration Systems, England Golf etc.) Your personal data is controlled internally by the club’s data protection officer who adheres to the Club’s internal data protection policies and procedures.

Individual Rights

Any individual has the right to request a copy of the information we hold on them, If you would like a copy of this information please email us on [email protected] or write to the data protection officer at the Club.

It is the responsibility of the member to keep their personal data up to date.

At the time of collecting data you have the right to object to the Club holding certain information about you.

Neither the Club nor any of its members should deliberately divulge any members contact details to any non-members of the club.
